The project office of a major rail infrastructure company wanted to implement a knowledge management system to enable project information to be managed and shared by the project team.

The Requirement

To design and implement a knowledge management system for use by Document Control, Finance and Legal teams within the project office.

The Solution

Working with the client team, Livelink supplied by Open Text Corporation was selected as preferred system. Information Matters™ Technology then, in conjunction with Open Text, designed the prototype schema which was developed to meet the project requirements. After trials, the production system was implemented by Information Matters™ Technology to deliver services to 150 users. Information Matters™ Technology continue to provide end-user support for the application, system administration, on-going design and consultancy.

Information Matters™ Technology also carried document capture (scanning and indexing) off site for direct loading to the system.

Achievements

  • Centralisation of project documents (work initiation forms, project managers communications, customer communications, requests for information).
  • Forced discipline on supply chain to standardise format of documents delivered by suppliers.
  • Ability to full text search both metadata and document data to track specific compensation events (claims).
